About Our Products

Is QuickBooks Desktop really a one-time purchase? +

It depends on which version you're looking at, and this is where a lot of people get confused — so let us break it down clearly.

QuickBooks Desktop 2021 and earlier(Pro 2021, Premier 2021, Enterprise 2021, Mac 2021) — these are genuine one-time purchases. You buy it once, you own it forever. No monthly fees, no annual renewal, no surprise charges. You install it on your computer and it's yours. These are the non-subscription versions that a lot of small business owners prefer, and they're exactly what we specialize in at Accountings Cart.

QuickBooks Desktop Plus versions (2021 Plus through 2024 Plus)(Pro Plus, Premier Plus) — these are annual subscription versions. You pay once per year and you need to renew each year to keep using the software. If you don't renew, the software stops working. These still run on your desktop computer (not in a browser like QuickBooks Online), but they do require that annual payment. The 2021 version was the first year Intuit offered both options — you could buy the standard 2021 as a one-time purchase or go with the 2021 Plus as an annual subscription. From 2022 onward, Intuit only offered the Plus (subscription) model for Pro and Premier.

Are your QuickBooks licenses genuine and authorized? +

What's the difference between QuickBooks Pro, Premier, and Enterprise? +

QuickBooks Pro is the go-to for most small businesses. It handles invoicing, expense tracking, basic reporting, and up to 3 users. If you're a freelancer, a small shop, or a one-person accounting department, Pro does everything you need without overcomplicating things.

QuickBooks Premier is a step up. It includes everything in Pro plus industry-specific editions for contractors, nonprofits, manufacturing, retail, and professional services. It also supports up to 5 users and has more advanced reporting tools. If your business has industry-specific needs, Premier is the better fit.

QuickBooks Enterprise is built for larger businesses that need serious horsepower. It supports up to 40 users, handles advanced inventory with barcode scanning, includes advanced pricing rules, and can manage much larger data files. If you've outgrown Pro or Premier, Enterprise is where you go.

Do you sell QuickBooks Desktop for Mac? +

Yes, we carry QuickBooks Desktop for Mac. It's designed specifically for macOS, so it runs natively on your Mac without needing Boot Camp or any workarounds. It includes invoicing, expense tracking, basic reporting, and bank connections — all in a clean Mac-friendly interface. Check our shop page for current Mac availability and pricing.

Is QuickBooks Desktop being discontinued? +

This is one of the most common questions we get, and the short answer is: it's complicated. Intuit has been phasing out certain standalone (non-subscription) versions and pushing hard toward QuickBooks Online. They stopped selling new non-subscription licenses for Pro and Premier after the 2021 versions. However, QuickBooks Desktop is still very much alive through their subscription-based Desktop Plus and Enterprise lines. And the older non-subscription versions still work perfectly fine — they just don't receive updates anymore. That's why a lot of our customers stock up on the one-time purchase versions while they're still available.

What versions of QuickBooks Desktop do you currently have in stock? +

Our inventory changes, but we typically carry QuickBooks Pro, Premier, Enterprise, and Mac versions ranging from 2021 through 2024. We also occasionally have older versions available for customers who need them for compatibility reasons. How do I receive my product after I buy it? +

After you complete your purchase, we'll send your genuine license key and download instructions straight to your email. Most orders are fulfilled the same business day — many within just a few hours. You won't be waiting around for a box in the mail. You'll get everything you need to download, install, and activate your QuickBooks software right from your inbox. Why are your prices lower than Intuit's website? +

Good question, and it's a fair one. Intuit primarily sells their subscription-based products now, which means they've moved away from the one-time purchase model for most of their lineup. Because we specialize in non-subscription QuickBooks Desktop licenses, we're able to offer pricing that reflects the actual value of the software without the recurring subscription markup. We also keep our overhead low — we're a focused, specialized reseller, not a giant corporation with layers of expenses to pass along to customers. The savings go straight to you.

What payment methods do you accept? +

We accept all major credit cards (Visa, Mastercard, American Express, Discover) as well as PayPal. All transactions are processed through secure, encrypted payment systems so your financial information stays safe. Can I use my QuickBooks license on more than one computer? +

Each license key is valid for a specific number of users, which depends on the product. A single-user license (1-User) means you can install and activate it on one computer. If you need to run QuickBooks on multiple machines, you'll want a multi-user license — for example, a 3-User Pro license lets you install on up to three computers on the same network. How much does delivery cost? +

Nothing. Delivery is free because it's all digital. After your purchase, you'll receive your license key and download link by email. There's no shipping, no handling fees, and no waiting for a package. You can be up and running with QuickBooks the same day you order.

Do you offer gift cards? +

We don't currently offer gift cards. However, if you'd like to purchase QuickBooks as a gift for someone — say, for a family member starting a new business or a colleague who needs accounting software — just contact us and we can help you arrange the purchase so the license key is delivered to the right person.

How do I install QuickBooks Desktop after purchasing? +

It's straightforward. After your purchase, we'll email you a download link along with your license key and product number. You download the installer file, run it, enter your license information when prompted, and follow the on-screen steps. The whole process takes about 10-15 minutes depending on your internet speed. How do I activate my QuickBooks license key? +

When you open QuickBooks Desktop for the first time after installation, it will ask you to activate. You'll enter the license number and product code we sent you, and QuickBooks will verify it with Intuit's servers. The activation usually takes less than a minute. If you're offline or run into any issues, QuickBooks also gives you the option to activate by phone. Either way, it's quick and painless.

What are the system requirements for QuickBooks Desktop? +

QuickBooks Desktop runs on Windows and you'll need a reasonably modern system to run it smoothly. Here's the general guideline:

  • Operating System: Windows 10 or Windows 11 (64-bit recommended)
  • Processor: 2.4 GHz minimum
  • RAM: 8 GB minimum (16 GB recommended for Enterprise)
  • Disk Space: 2.5 GB plus room for your company file
  • Screen Resolution: 1280 x 1024 or higher
  • Internet: Required for activation, payroll, and bank feeds (not required for day-to-day use)

If you're on a Mac, you'll need QuickBooks Desktop for Mac specifically. It won't run the Windows version natively without extra software. We carry Mac versions too — check our shop page.

Can I install QuickBooks Desktop on Windows 11? +

Yes. QuickBooks Desktop 2021 and newer versions are fully compatible with Windows 11. Older versions (2020 and earlier) may still work but Intuit doesn't officially support them on Windows 11, so you might run into occasional quirks. If you're running Windows 11 and want a guaranteed smooth experience, we'd recommend going with a 2021 or newer version.

Can I transfer my QuickBooks to a new computer? +

Absolutely. You can move QuickBooks Desktop to a new computer. You'll need your license key (which we can resend if you've lost it), and you'll want to back up your company file from your old computer before making the switch. Then you just install QuickBooks on the new machine, activate it with your license key, and restore your company file. QuickBooks Desktop vs. Online

Should I buy QuickBooks Desktop or QuickBooks Online? +

It depends on how you work. QuickBooks Desktop is installed on your computer, gives you full control over your data, works offline, and is a one-time purchase. It tends to have more advanced features — especially for inventory, job costing, and industry-specific needs. A lot of accountants and bookkeepers prefer it because it's faster and more powerful for heavy-duty work.

QuickBooks Online is cloud-based, so you can access it from any device with a browser. It's convenient if you travel a lot or need your team to log in from different locations. But it's a monthly subscription that you'll pay for as long as you use it, and some features that come standard in Desktop are locked behind higher-tier Online plans.

Can I switch from QuickBooks Online to QuickBooks Desktop? +

Yes, you can. QuickBooks Desktop allows you to import data from QuickBooks Online. The process involves exporting your data from QBO and importing it into your new Desktop installation. Can I switch from QuickBooks Desktop to QuickBooks Online? +

Yes. Intuit has built a migration tool directly into QuickBooks Desktop that lets you move your company file to QuickBooks Online. It transfers your chart of accounts, customer and vendor lists, and transaction history. Some data may need manual cleanup after the migration, but the core information carries over. Does QuickBooks Desktop work without the internet? +

Yes — that's one of the biggest advantages of Desktop over Online. Once QuickBooks Desktop is installed and activated, you can use it without an internet connection for your day-to-day accounting work. You'll only need internet for things like downloading updates, processing online payments, connecting to your bank for automatic transaction feeds, or running payroll. But if you just need to create invoices, enter expenses, run reports, or manage your books, you can do all of that completely offline.

Licensing & Technical Questions

What if I lose my license key? +

Don't panic. If you purchased from us, we keep a record of your order. Just reach out to us with your order details — your name and email address are usually enough — and we'll resend your license key. This is one of the perks of buying from a real reseller who actually keeps track of things and stands behind the sale.

Will I still get updates for QuickBooks Desktop? +

It depends on the version. Intuit typically provides updates and support for three years from the release date of each version. So a 2024 version will receive security patches and updates through 2027. After that, the software still works — you just won't get new updates. For the non-subscription versions (like Pro 2021 or Premier 2021), Intuit discontinued official updates when they moved to the subscription model, but the software itself continues to function normally for basic accounting tasks.

Can I upgrade from QuickBooks Pro to Premier or Enterprise later? +

Yes. If you start with Pro and your business grows to the point where you need Premier or Enterprise features, you can absolutely upgrade. Your company file is compatible across all three editions. You'd purchase the higher edition, install it, and open your existing company file — all your data carries over. The transition is pretty smooth. I already have QuickBooks Desktop installed. Can I buy a new license key from you? +

Yes. If your current license has expired, was deactivated, or you need a fresh license for any reason, you can purchase a new license key from us for your existing version. Just make sure you know which exact version and year you have installed, and we'll match it up. If you're not sure, call us and we'll help you figure it out.

Can I use QuickBooks Desktop on a Mac without the Mac version? +

Technically, yes — but we wouldn't recommend it for most people. You could run the Windows version of QuickBooks on a Mac using virtualization software like Parallels Desktop or by setting up Boot Camp with a Windows partition. But both of those approaches add complexity, require a separate Windows license, and can be slower than running native software. If you're on a Mac, the easiest path is to go with QuickBooks Desktop for Mac, which is designed to work on macOS without any extra setup.

What is your return policy? +

We want you to be completely satisfied with your purchase. If something isn't right — you received the wrong version, the key doesn't work, or you're just not happy — contact us as soon as possible. We handle returns and refunds on a case-by-case basis because every situation is different, but we'll always work with you to make it right. We're not one of those companies that hides behind a "no refunds" policy and then disappears. We're real people and we actually care about your experience.

Can I exchange my product for a different version? +

Yes, in most cases. If you purchased QuickBooks Pro and realized you actually need Premier, or if you bought the wrong year by mistake, reach out to us and we'll work out an exchange. The sooner you contact us, the easier the process will be. We'd rather help you get the right product than leave you stuck with something that doesn't fit your needs.
