QuickBooks Condense Data Errors: When the Condense Utility Fails

Shrink Your Company File Safely, Step by Step

Years of transactions can make any QuickBooks company file slow and bulky. The Condense Data utility is supposed to fix that by summarizing old transactions. But it's also one of the touchiest tools in QuickBooks, and when it fails, it often stops partway with a vague error or simply closes.

Here's how to get it working, what to check first, and safer alternatives if condensing isn't the right answer for your file.

"QuickBooks was unable to condense your company file. Your data has not been changed."

Bookkeeper fixing a QuickBooks Condense Data error

What Is the Condense Data Utility?

Found under File > Utilities > Condense Data, it summarizes transactions before a date you choose into monthly journal entries, and can remove unused list items. The result is a smaller file that runs faster. Because it permanently changes your data, QuickBooks runs a lot of checks first, and any problem along the way stops it.

Always back up first. Condensing permanently removes transaction detail. Keep a full backup of the original file, and ideally an archive copy you never condense.

Why Does Condense Data Fail?

1

Data damage in the file

Condense won't run on a file with data integrity problems. Verify and Rebuild usually comes first.

2

Not enough disk space

Condensing creates temporary copies and an archive. It can need several times the file size in free space.

3

Running in multi-user mode

Condense requires single-user mode with nobody else in the file.

4

Open or uncleared transactions

Unpaid invoices, unreconciled items and transactions with open links before the cut-off date can't be summarized.

5

Very large or old files

Extremely large files, or ones upgraded through many versions, sometimes fail regardless.

How to Fix QuickBooks Condense Data Errors, Step by Step

FIX #1

Verify and Rebuild the Company File

Step 1 Switch to single-user mode under File > Switch to Single-user Mode.

Step 2 Go to File > Utilities > Verify Data.

Step 3 If problems are found, make a backup and run File > Utilities > Rebuild Data.

Step 4 Run Verify Data again until it reports no problems, then try Condense again.

FIX #2

Free Up Disk Space and Work Locally

Step 1 Copy the company file to a local folder on a drive with plenty of free space, at least three to four times the size of the file.

Step 2 Open the local copy in single-user mode.

Step 3 Run Condense Data on the local copy.

Step 4 When it succeeds, check the results and then replace the shared copy (keeping the original backup).

FIX #3

Clear Up Open Transactions Before the Cut-Off Date

Step 1 Run Reports > Customers & Receivables > Open Invoices and Vendors & Payables > Unpaid Bills Detail as of the cut-off date.

Step 2 Resolve or write off very old open items with your accountant's guidance.

Step 3 Make sure bank accounts are reconciled through the cut-off date.

Step 4 Choose a cut-off date at the end of a closed year and try Condense again.

FIX #4

Update QuickBooks and Run Condense Again

Step 1 Install the latest release for your version under Help > Update QuickBooks Desktop where updates are still available.

Step 2 Restart your computer.

Step 3 Run Condense Data with the option to keep transactions after your cut-off date and remove only closed transactions.

FIX #5

Consider a Fresh Company File Instead

If condensing keeps failing, starting a new company file can be cleaner and safer.

Step 1 Pick a start date, usually the first day of a new year.

Step 2 Export your lists (customers, vendors, items, accounts) from the old file using File > Utilities > Export > Lists to IIF Files.

Step 3 Create a new company file and import the lists.

Step 4 Enter opening balances and open invoices and bills as of the start date. Keep the old file for history.
