How to Set Up QuickBooks Desktop Multi-User Mode
Server, workstations, Database Server Manager and hosting, explained simply.
Once your business grows past one person doing the books, you'll probably want two or three people in QuickBooks at the same time: someone entering bills, someone sending invoices, maybe your bookkeeper reconciling. That's what multi-user mode is for.
Setting it up isn't hard, but the order matters, and one wrong checkbox can leave you staring at an H202 error. This guide walks through the whole thing.
How Multi-User Mode Works
One computer stores the company file and hosts it. That's the server. The other computers, the workstations, open the file over your office network. A small background program called QuickBooks Database Server Manager runs on the server and manages everyone's connections.
| Role | What it does | What to install |
|---|---|---|
| Server (host) | Stores the company file and shares it | QuickBooks Database Server Manager (and full QuickBooks if someone works on it) |
| Workstation | Opens the shared file over the network | Full QuickBooks Desktop |
User limits: Pro up to 3, Premier up to 5, Enterprise up to 40, with a license seat for each person working at the same time.
What You Need
- The same QuickBooks edition and year on every computer (for example, all Premier 2021)
- A user license for each simultaneous user
- A reliable computer to act as the server, preferably on a wired connection
- Windows admin access on every computer
Step 1: Set Up the Server
- Run the QuickBooks installer on the server computer.
- Choose Custom and Network Options.
- Pick one of these:
- "I'll be using QuickBooks Desktop on this computer, AND I'll be storing our company file here" if someone will also work on the server.
- "I will NOT be using QuickBooks Desktop on this computer" if it's a dedicated server. This installs only Database Server Manager.
- Finish the install.
Step 2: Create a Shared Folder for the Company File
- On the server, create a folder on a local drive, for example
C:\QBData. - Right-click it, choose Properties > Sharing > Advanced Sharing, tick Share this folder and set permissions so your QuickBooks users have Full Control.
- Move or restore your company file into this folder.
Avoid cloud sync folders. Don't share a folder that's inside OneDrive, Dropbox or Google Drive. Sync tools lock the company file and cause errors in multi-user mode.
Step 3: Run Database Server Manager
- On the server, open the Windows Start menu and search for QuickBooks Database Server Manager.
- Click Add Folder and choose your company file folder.
- Click Scan. This sets up the network data file (.ND) and permissions QuickBooks needs.
- When the scan finishes, your company file should appear in the list.
Step 4: Turn On Hosting on the Server Only
If full QuickBooks is installed on the server, open it and go to File > Utilities > Host Multi-User Access. Click Yes to confirm.
On every workstation, open QuickBooks and check File > Utilities. It should say Host Multi-User Access, which means the workstation is *not* hosting. If it says Stop Hosting, click it. Only one computer should host.
Step 5: Set Up the Workstations
- Install QuickBooks on each workstation using the Express option.
- Open QuickBooks, choose Open or restore an existing company, and browse to the shared folder on the server through the network (for example
\\SERVER\QBData). - Open the company file and, when prompted, switch to multi-user mode under File > Switch to Multi-user Mode.
Step 6: Create User Logins
In QuickBooks, go to Company > Set Up Users and Passwords > Set Up Users. Give each person their own login. Enterprise lets you control exactly what each person can see.
Troubleshooting
| Symptom | Likely cause | Fix |
|---|---|---|
| Error H202 or H505 on workstations | Workstation can't reach the server | See our guides to H202 and H505 |
| "File in use" or Error 6189 | Someone left the file open, or a lock file is stuck | See our Error 6189 guide |
| Very slow in multi-user mode | Wi-Fi, a busy server or a large file | Use wired connections and see our running slow guide |
| Company file not listed in Database Server Manager | Folder not scanned | Re-run the scan in Database Server Manager |
Frequently Asked Questions
Do I need Windows Server for QuickBooks multi-user mode?
No. A reliable Windows 10 or 11 Pro computer works well as the host for small offices. Larger teams and Enterprise users often benefit from Windows Server.
Can different QuickBooks versions share one company file?
No. Every computer must run the same edition and year. A 2021 workstation can't open a file that's been upgraded to 2024.
Can I use multi-user mode over the internet?
Not directly. Multi-user mode is built for a local network. For remote access, people use a VPN, remote desktop or a QuickBooks hosting service.
How many users can QuickBooks Pro have?
QuickBooks Pro supports up to three simultaneous users, each with their own license seat. Premier supports five and Enterprise up to 40.
