How to Transfer QuickBooks Desktop to a New Computer
Move the program, your company file and your license without losing a thing.
Getting a new computer should feel like an upgrade, not a weekend of stress. But QuickBooks is usually the one program people worry about, because it holds years of financial records and the license needs to come along too.
The good news: moving QuickBooks Desktop is very doable, even if you're not technical. This guide walks you through the two methods that work, what you need before you start, and how to fix the hiccups people run into most often.
Before You Start: Gather These Four Things
Ten minutes of prep here saves an hour of hunting later.
- Your license number and product number. Open QuickBooks on the old computer and press F2. The Product Information window shows both. Write them down or take a photo. They're also in your original purchase email.
- Your QuickBooks installer. You'll need the download for your exact version and year, for example QuickBooks Pro 2021. Our download guides link to the official Intuit installer for every version.
- A USB drive or cloud folder with enough space for your company file. Most files are well under 1 GB, but check yours.
- Your admin password for the company file. You'll need it to make the backup and to open the file on the new machine.
One license, one computer (per user). A single-user QuickBooks license is meant to be installed on one computer. When you move to a new one, uninstall it from the old computer once everything is working on the new one.
Method 1: Use Intuit's Migrator Tool
Newer QuickBooks Desktop versions include a Migrator Tool that copies the program, your company files and your settings to the new computer. It's the easiest option if it's available in your version.
- On the old computer, open QuickBooks and go to File > Utilities > Move QuickBooks to another computer.
- Click I'm Ready, then create a one-time password. You'll need it on the new computer, so write it down.
- Choose your USB drive. The tool copies the files it needs onto it. This can take a while for big files.
- Plug the USB drive into the new computer and run the Move_QuickBooks.bat file from the drive.
- Enter the one-time password. The tool installs QuickBooks and copies your company files and settings.
- When it finishes, open QuickBooks on the new computer and register or activate it with your license and product numbers.
The Migrator Tool isn't always there. If you don't see the option, or the transfer fails partway through, don't worry. Method 2 works for every version and is what many IT pros use anyway.
Method 2: Manual Transfer (Works for Every Version)
This takes a few more steps, but it's reliable and you stay in control the whole way.
Step 1: Make a backup on the old computer
Open QuickBooks, go to File > Back Up Company > Create Local Backup, choose Local backup and save it to your USB drive. You'll get a file ending in .QBB. If you have more than one company file, back up each one.
Step 2: Install QuickBooks on the new computer
Download the installer for your exact version, run it, and enter your license and product numbers when asked. Choose Express install unless you have a reason to customize it.
Step 3: Restore your backup
On the new computer, open QuickBooks, go to File > Open or Restore Company > Restore a backup copy, pick Local backup, browse to the .QBB file on your USB drive and choose where to save the company file. A simple folder like C:\QBData is a good choice. Avoid OneDrive or Dropbox folders for the live file.
Step 4: Activate QuickBooks
Go to Help > Activate QuickBooks Desktop and follow the prompts. If online activation won't go through, which is common with older versions, phone activation is available. Our download guides cover the activation steps for each year.
Step 5: Check everything
Open a few reports you know well, like last month's profit and loss and your bank balance, and compare them with the old computer. Check that printers and forms are set up. Once you're happy, uninstall QuickBooks from the old computer.
Moving a Multi-User Setup
If your company file lives on a server or shared computer, the order matters a little more:
- Make sure everyone is out of QuickBooks and make a backup.
- Install QuickBooks on the new server and choose the option to host the company file, or install the QuickBooks Database Server Manager only if nobody will work directly on the server.
- Restore or copy the company file to a shared folder on the new server.
- Run Database Server Manager, scan the shared folder and turn on Host Multi-User Access on the server only.
- On each workstation, open the company file from the new server location.
If workstations can't connect afterwards, our Error H202 guide walks through the network side.
Common Problems and Quick Fixes
| Problem | What usually fixes it |
|---|---|
| "License already in use" | Uninstall from the old computer, then activate again. Call Intuit or your reseller if it still refuses |
| Activation fails online | Use phone activation, especially on 2021 and older versions |
| Company file won't open | Restore the .QBB to a new local folder, then see our Error 6000 guide |
| Old version won't install on Windows 11 | Run the installer as administrator and install the latest release from our download guides |
| Printing or PDF errors | See our PDF and printing errors guide |
Is This a Good Time to Upgrade?
A new computer is a natural moment to ask whether your QuickBooks version still fits. Very old versions can be hard to install on Windows 11 and have no Intuit support. If you're running something from 2018 or earlier, it may be worth moving to a newer one-time license while stock is still around. Our pricing guide shows every option.
Frequently Asked Questions
Can I install QuickBooks on a new computer with the same license?
Yes. Your license moves with you. Install QuickBooks on the new computer with the same license and product numbers, then uninstall it from the old one. A single-user license is meant for one computer at a time.
Will I lose any data when I move QuickBooks?
Not if you use a backup. A .QBB backup contains everything in the company file: lists, transactions, settings and history. Keep the old computer untouched until you've checked the new one.
Where do I find my QuickBooks license number?
Press F2 in QuickBooks to open the Product Information window. Your license and product numbers are shown there. They're also in the email you received when you bought QuickBooks.
Can I move QuickBooks from Windows to a Mac?
Not directly. Windows and Mac versions are different products. You can convert a Windows company file for QuickBooks Desktop for Mac, but you need a Mac license to open it.
How long does it take to transfer QuickBooks?
For a typical small business, about 30 to 60 minutes including the download, install and restore. Larger company files and multi-user setups take longer.
