Complete Guide for QuickBooks Pro 2018, Premier 2018 & Enterprise 18.0

Important: QuickBooks Desktop 2018 Is Discontinued

Intuit ended all support for QuickBooks Desktop 2018 on May 31, 2021. That means no more software updates, no security patches, no payroll services, no bank feed connections, and no online backup. If you rely on any of those features, this version will not work for you. However, QuickBooks 2018 still functions perfectly fine for offline bookkeeping — entering transactions, running reports, printing invoices, and managing your books without an internet connection.

QuickBooks Desktop 2018 was a solid release back in its day. A lot of businesses bought it, got comfortable with it, and never felt the need to move on. If you already own a license and just need to reinstall it on a new computer — or you picked up a copy specifically for offline use — this page walks you through the entire download, install, and activation process from start to finish.

We still get calls about this version regularly, so we put together everything you need in one spot. Pro, Premier, and Enterprise 18.0 all follow the same general steps.

What Is QuickBooks Desktop 2018?

QuickBooks Desktop 2018 is a Windows-based accounting program from Intuit that was released in the fall of 2017. It handles all the core bookkeeping tasks — invoicing, bill paying, expense tracking, bank reconciliation, financial reports, and payroll processing. Everything runs locally on your PC, not in a web browser.

When it launched, the 2018 version brought some welcome improvements over 2017, especially around speed and usability. It was well-received by small businesses and accountants alike. While it no longer receives updates or online services from Intuit, the core software itself still works if all you need is a standalone accounting tool.

What Came with the 2018 Release?

  • Multi-monitor support — Finally, you could spread QuickBooks windows across two screens. Open a report on one monitor while entering transactions on the other.
  • Smart search — A faster, smarter search bar that helped you find transactions, customers, vendors, and menu items without digging through menus.
  • Improved invoice status tracker — A visual timeline showing where each invoice stood — sent, viewed, paid, or overdue — right on the invoice screen.
  • Faster startup — QuickBooks 2018 opened noticeably quicker than 2017, especially with larger company files.
  • Improved data recovery tools — Better built-in utilities for detecting and repairing damaged company files before they became a bigger problem.
  • Enhanced payroll center — A cleaner payroll dashboard that made it easier to see upcoming payroll runs, tax payments, and filing deadlines at a glance.

After You Purchase — What You'll Receive

  • Your Product License Key — The unique activation code tied to your copy. Store this somewhere safe — losing it means starting over.
  • Download Link — A direct link to grab the installer file for your specific version (Pro, Premier, or Enterprise 18.0).
  • Product Number — A shorter code that identifies your edition. You'll enter this alongside your license key during setup.
  • Order Confirmation Email — Your purchase receipt with all the details above bundled together.

Tip: Take a screenshot of your license email or write the key down on paper and keep it with your important records. If your hard drive ever dies or you replace your computer, that license key is the only way to get QuickBooks back up and running.

QuickBooks Desktop 2018 — Download, Install, Activation & Get Started

Step 1: Locate Your Purchase Email

Find the email you received after buying. It contains your download link and license key. Check spam or junk folders if it's not in your main inbox.

Step 2: Click Your Download Link

Click the link and let the installer download. The file is roughly 300-500 MB, so it might take a few minutes on a slower connection. Don't close the browser while it's downloading.

Step 3: Locate the Downloaded File

Look in your Downloads folder for a file named something like QuickBooks.exe or Setup_QuickBooks2018.exe.

Step 4: Can't Find Your Setup File?

If you can't locate your QuickBooks setup file or the .exe file isn't in your Downloads folder, don't worry. You can download it directly from Intuit's official download page here: https://downloads.quickbooks.com/app/qbdt/products. Just select your version, enter your license and product number, and the download will start.

Step 5: Have Your License Details Handy

Before you double-click anything, pull up your Product Number and License Key. You'll need both during installation, and it saves time to have them ready.

Installation — Step by Step

The install process is the same whether you have Pro, Premier, or Enterprise 18.0. Budget about 10-15 minutes from start to finish.

Step 1: Shut Down Other Applications

Close your web browser, Outlook, Word, and any other programs. Temporarily disable your antivirus too — it's a common culprit when QuickBooks installs go sideways.

Step 2: Launch the Installer

Double-click the setup file you downloaded. When Windows pops up asking "Do you want to allow this app to make changes to your device?" — click Yes.

Step 3: Agree to the License Terms

Check the "I accept the terms in the license agreement" box and click Next to continue.

Step 4: Type in Your Product Number and License Key

Enter them carefully — watch out for extra spaces or misread characters (zeros vs. the letter O, ones vs. lowercase L). Click Next when they're in.

Step 5: Pick Your Installation Type

Express Install — The recommended choice. Puts everything in the default location with standard settings.
Custom and Network Install — Only pick this if you want to install to a specific folder or you're configuring multi-user access on a network.

Select one and click Next.

Step 6: Let It Install

Click Install and give it 5-10 minutes. Leave it alone — don't close the window, don't restart, and don't unplug your laptop.

Step 7: Launch QuickBooks

When the installer finishes, click Open QuickBooks. A shortcut will also appear on your desktop for future access.

How to Activate

Activation ties your license key to your computer and confirms it's a legitimate copy. You typically get 30 days to activate before QuickBooks locks you out.

Heads up: Because QuickBooks 2018 is an older, discontinued version, the activation servers can sometimes be slow to respond or temporarily unavailable. If activation doesn't go through on the first try, wait a bit and try again. Phone activation is a solid backup option for older versions.

Step 1:

Open QuickBooks Desktop 2018. Most of the time, it will ask you to activate right away on the first launch.

Step 2:

If it doesn't prompt you, navigate to HelpActivate QuickBooks Desktop from the top menu.

Step 3:

Follow the prompts on screen. Online activation takes under a minute when the servers cooperate.

Step 4:

You'll see a confirmation message — click OK and you're good to go.

Phone activation fallback: If online activation fails or times out, go to Help → Activate → select "activate by phone." A toll-free number will appear on screen. Call it, read your validation code to the representative, and they'll give you a confirmation code to type in. This method tends to work reliably even for older versions.

Troubleshooting — Common Issues

Download Stops Midway or Won't Start

Delete whatever partially downloaded, make sure your internet connection is stable, and try the link again. If your browser keeps choking on it, switch to a different one — Chrome, Edge, or Firefox usually work well.

Installer Freezes or Errors Out

Disable your antivirus, confirm you have at least 2.5 GB of free disk space, restart your computer, then right-click the installer and select Run as administrator.

Error 1903 or 1904

These usually mean a Windows component is out of date. Run Windows Update, install all available updates, restart, and run the installer again. If it still happens, manually download and install Microsoft .NET Framework from Microsoft's website.

Error 3371 — Could Not Load License Data

Close QuickBooks completely. Navigate to C:\ProgramData\Intuit\Entitlement Client\v8 and delete the file called EntitlementDataStore.ecml. Open QuickBooks again and re-enter your license information when prompted.

QuickBooks Closes Immediately After Opening

Uninstall QuickBooks through Settings → Apps (or Control Panel → Programs). Restart your computer, turn off antivirus, then reinstall using Run as Administrator. Restart once more after installation.

"This License Number Has Already Been Used"

This happens when QuickBooks thinks your license is active on another machine. If you removed it from the old computer, try phone activation — that usually clears it up. If not, give us a call and we'll help you sort it out.

Firewall or Security Software Blocking QuickBooks

Add QuickBooks Desktop as an exception in your antivirus program. For Windows Firewall: go to Control Panel → Windows Firewall → Allow an app through → find QuickBooks and check both Private and Public boxes.

Should You Upgrade From QuickBooks Desktop 2018?

Almost five years without a security patch — but a lot of our customers are still running it just fine. Here's the honest tradeoff.

✓ Stay on 2018

If you only do offline bookkeeping

If you're using QuickBooks as a glorified ledger — entering bills, cutting checks, running P&L and Balance Sheet reports, reconciling against printed bank statements — there is genuinely nothing the 2024 version does better for your workflow. Multi-monitor still works. Past Due stamps still print. R16 is stable on Win 10.

→ Time to Upgrade

If any of these apply to you

Bank feeds, payroll, online backup, credit card processing, or any of the online services Intuit pulled at discontinuation in May 2021. Once severed, they cannot be restored on a 2018 install — they are permanently gone on this version. Same goes for tech support from Intuit.

What Intuit Pulled at Discontinuation

Bank feeds & Direct Connect
All financial institution connections were severed. You cannot reconnect a 2018 install to any bank, period.
Intuit-managed payroll
No tax tables, no direct deposit, no e-file. If you run payroll in QuickBooks, 2018 stopped being viable in 2021.
Online backup (Intuit Data Protect)
Disconnected. You'll need to handle backups manually or with a third-party tool.
QuickBooks Payments & credit card processing
Disabled at discontinuation. No way to process card payments through 2018.
Security patches
Roughly 60 months and counting without a single update. If your QuickBooks machine touches the internet at all, this is a real concern.
Windows 11 stability
2018 was never officially tested on Win 11. It usually runs, but multi-monitor positioning and PDF printing are the first things to break.

→ How the upgrade actually works

Any QuickBooks Desktop release from 2019 onward will open and convert your 2018 company file in one step. Your chart of accounts, customers, vendors, transaction history, and payroll history all come across cleanly. Just back up first — the conversion is one-way. Once a file is on 2024, it cannot be reopened in 2018.

If you're jumping more than three years (say 2018 straight to 2024), run Verify Data and Rebuild Data on your 2018 file before you start. Older files sometimes carry tiny inconsistencies that 2018 quietly tolerates but newer versions reject mid-conversion. FAQ · 2018 Edition

Frequently Asked Questions

Specific to QuickBooks Desktop 2018 — covering R-releases, Windows 11 quirks, multi-monitor setup, and what to expect now that the version is discontinued.

Q

Is QuickBooks Desktop 2018 still safe to use in 2026?

Intuit ended all support on May 31, 2021 — almost five years without a security patch. For pure offline bookkeeping on a machine that isn't connected to the internet, it's still functional. For anything involving online banking, payroll, or sensitive client data, the lack of patches is a real risk and you should plan an upgrade.

Q

Will QuickBooks Desktop 2018 run on Windows 11?

QuickBooks 2018 was built and tested for Windows 7 SP1, 8.1, and 10 — it was never officially certified for Windows 11. Most users report it installs and runs, but the multi-monitor feature and PDF printing tend to be the first things to misbehave on Win 11. If you must run it there, install the latest R-release (R16) first, run the installer as Administrator, and keep a Windows 10 fallback machine if you can.

Q

Which R-release of QuickBooks Desktop 2018 should I install?

R16 is the final maintenance release for QuickBooks Desktop 2018, issued before discontinuation in May 2021. Always install R16 — earlier R-releases had a known issue where multi-monitor windows would lose their position after a restart, plus a sales tax rounding fix that only landed in R12 and later.

Q

Can I still activate QuickBooks Desktop 2018 in 2026?

Yes, but only by phone. Online activation servers for the 2018 release were taken down at discontinuation. When the activation screen tells you online activation failed, click Activate by phone and you'll be given a code to enter. If the automated system can't validate it, call us at (870) 232-6314 — we activate this version for customers regularly.

Q

How do I set up multi-monitor mode in QuickBooks Desktop 2018?

Multi-monitor was the headline feature of the 2018 release. After installing, go to View → Switch to Multi-Monitor Mode (or press Ctrl+Alt+M ). You can then drag any open window — invoices, reports, transaction screens — to a second monitor. If the option is greyed out, your Windows display setup hasn't detected the second screen yet; check Display Settings first.

Q

Can I open a 2018 company file in a newer version?

Yes. Any QuickBooks Desktop release from 2019 onward will open and convert a 2018 .qbw file. The conversion is one-way — once upgraded, you cannot reopen the file in 2018. Always make a backup first. If you're jumping more than three years (e.g., 2018 to 2024), run Verify Data and Rebuild Data on your 2018 file before starting the upgrade.

Q

What was new in 2018 vs the 2017 release?

The big additions: multi-monitor support , the Past Due stamp on overdue invoices, mobile inventory scanner integration for Enterprise, customer-specific search filters, and a redesigned chart of accounts with merge support. Smart Search was also rebuilt to be noticeably faster than 2017 — that was the most common upgrade reason at the time.

Q

How do I fix QuickBooks Desktop 2018 Error 3371 on a fresh install?

Error 3371 on QuickBooks 2018 is almost always a corrupted entitlement file. Close QuickBooks completely, browse to C:\ProgramData\Intuit\Entitlement Client\v8 (this is a hidden folder — enable hidden items in Windows Explorer first), delete EntitlementDataStore.ecml , then reopen QuickBooks. You'll be prompted to re-enter your license and product number. On Windows 11, you may also need to right-click QuickBooks and choose "Run as administrator" the first time it loads after the fix.
