So you've decided to go with QuickBooks Online — good choice. Now you just need to get it up and running. This page walks you through everything from signing up and picking the right plan, all the way through connecting your bank accounts, setting up invoices, and getting your books ready to go.
QuickBooks Online works a little differently than the Desktop version. There's no big installer to download, no license key to punch in, and no worrying about whether your computer meets the system requirements. Most of it runs right in your browser. But there is a desktop app you can install if you prefer working outside the browser — we'll cover that too.

How QuickBooks Online Works
QuickBooks Online is cloud-based accounting software. That means your books live on Intuit's servers, not on your computer's hard drive. You log in through a web browser — Chrome, Edge, Safari, Firefox — and everything is right there. Your data is backed up automatically, updates happen on their own, and you can access your books from any device, anywhere.
You don't need to install anything to use it. But if you like working in a standalone window instead of a browser tab, Intuit does offer a desktop app that connects to your QuickBooks Online account. Same data, same features — it just runs in its own window on your computer. We'll show you how to get both options set up.

How to Sign Up and Start Your Free 30-Day Trial
Every plan comes with a free 30-day trial. You get to use the full version with your real business data before you spend a penny. Here's how to get started:
Step 1: Go to the Sign-Up Page
Click the link below to go directly to the QuickBooks Online sign-up page:

Step 2: Pick Your Plan
You'll see all the available plans on the page. Click "Try it free" under whichever plan fits your business. Remember — you can switch later if you change your mind.
Step 3: Create Your Intuit Account
Enter your email address and create a password. If you already have an Intuit account (from TurboTax, Mint, or a previous QuickBooks subscription), you can use that same login — no need to create a new one.
Step 4: Enter Your Business Info
QuickBooks will ask a few basic questions — your business name, industry, how long you've been in business, and what you mainly use accounting software for. Answer honestly — it uses this to customize your setup and suggest the right chart of accounts.
Step 5: You're In
That's it. You'll land on your QuickBooks Online dashboard. Your 30-day free trial has started, and you can start setting up your books right away.
Tip: You won't be charged anything during the trial. If you decide QuickBooks Online isn't for you, just cancel before the 30 days are up and you won't owe a thing.
Download the QuickBooks Desktop App for Online
Most people use QuickBooks Online right in their browser, and that works perfectly fine. But if you'd rather have QuickBooks running in its own window on your computer — separate from your browser tabs — Intuit offers a desktop app that connects to your QuickBooks Online account.
It's the same QuickBooks Online you'd use in Chrome or Edge. Same data, same features, same everything. It just runs in a dedicated window so you don't accidentally close it when you're clearing out browser tabs.
Step 1: Download the App

Step 2: Find the Downloaded File
Check your Downloads folder for a file called QuickBooks AdvancedSetup.exe. It's a small file — the download should only take a minute or two.
Step 3: Run the Installer
Double-click the file. If Windows asks "Do you want to allow this app to make changes to your device?" — click Yes. The installer will do its thing. Takes about 5 minutes.
Step 4: Log In With Your Intuit Account
Once it's installed, open the app and log in with the same email and password you used to sign up for QuickBooks Online. Your books will be right there — same dashboard, same data, everything synced.
Step 5: Pin It to Your Taskbar
Right-click the QuickBooks icon in your taskbar and click Pin to taskbar. That way it's always one click away, just like any other program on your computer.
Important: The desktop app still needs an internet connection. Your data lives in the cloud, not on your hard drive. The app is just a different way to access it — think of it as a dedicated window for QuickBooks instead of a browser tab.
Initial Setup — Getting Your Books Ready
You're signed up and logged in. Now let's get your books set up properly so your reports are accurate from day one. QuickBooks walks you through a guided setup, but here's what you should pay attention to:
Step 1: Company Info
Go to the gear icon (top right) → Account and Settings → Company. Fill in your business name, address, phone number, email, and website. This info shows up on your invoices and reports, so get it right.
Step 2: Review Your Chart of Accounts
QuickBooks creates a default chart of accounts based on your industry. Go to the gear icon → Chart of Accounts and look it over. You can rename accounts, add new ones, or remove categories you'll never use. Don't stress about making it perfect right now — you can always adjust it later.
Step 3: Set Your Fiscal Year
Go to Account and Settings → Advanced → Accounting. Make sure your fiscal year start month is correct. Most businesses use January, but if yours is different (like July for some nonprofits), set it here.
Step 4: Add Your Logo
Go to Account and Settings → Company → upload your business logo. This shows up on your invoices, estimates, and receipts. Makes everything look professional right out of the gate.
Step 5: Set Up Sales Tax (If Applicable)
If you collect sales tax, go to Taxes from the left menu and follow the setup wizard. Enter your state, your filing frequency, and QuickBooks will start tracking and calculating sales tax on your invoices automatically.
Connecting Your Bank Accounts
This is probably the single most useful thing QuickBooks Online does. Once your bank accounts and credit cards are connected, transactions download automatically every day. No more typing in every purchase by hand.
Step 1: Go to Banking
Click Banking from the left sidebar menu, then click Connect account.
Step 2: Search for Your Bank
Type your bank or credit card company name. QuickBooks connects with thousands of financial institutions — Chase, Bank of America, Wells Fargo, Capital One, most credit unions, you name it.
Step 3: Log In to Your Bank
Enter the same username and password you use for online banking. You might need to verify with a security code from your bank — that's normal, just your bank being careful.
Step 4: Choose Which Accounts to Connect
Your bank may show multiple accounts (checking, savings, credit cards). Select the ones you use for business and match each one to the right account in QuickBooks.
Step 5: Transactions Start Downloading
QuickBooks will pull in your recent transactions — usually the last 90 days. From here on, new transactions show up automatically. You just review them, categorize them, and move on.
Tip: Connect all your business accounts — checking, savings, credit cards, PayPal, whatever you use for business. The more connected, the less manual entry you'll have to do and the more accurate your books will be.
Setting Up Your First Invoice
Getting paid starts with sending an invoice. QuickBooks makes this easy — you can set one up in a couple of minutes and send it right from the software.
Step 1: Click + New → Invoice
Click the big green + New button on the left sidebar and select Invoice.
Step 2: Add Your Customer
Type the customer's name. If they're new, QuickBooks will let you add them on the spot — name, email, address, payment terms. This saves you time on future invoices because the info is already there.
Step 3: Add Line Items
Add what you're billing for — products, services, hours, whatever it is. Add a description, quantity, and price. QuickBooks calculates the total and adds sales tax if you've set that up.
Step 4: Customize the Look
Click Customize at the bottom to adjust colors, add a payment message, or include terms and conditions. Your logo should already be there if you uploaded it earlier.
Step 5: Send It
Hit Save and send. Your customer gets an email with the invoice and can pay by credit card or bank transfer right from it. You'll see the payment status in your dashboard — paid, unpaid, or overdue.
Adding Team Members
If you're on Essentials (3 users), Plus (5 users), or Advanced (25 users), you can invite your team — your bookkeeper, accountant, office manager, or business partner — to have their own login.
Step 1: Go to Manage Users
Click the gear icon (top right) → Manage Users.
Step 2: Click Add User
Choose the type of access — regular user, company admin, or reports-only. Pick what makes sense for what they need to do.
Step 3: Set Permissions
Decide what they can see — customers, vendors, payroll, banking, reports. You can give someone full access or limit them to only what they need. Your office manager probably doesn't need to see payroll details, for example.
Step 4: Send the Invite
Enter their email and click Save. They'll get an email with a link to create their own Intuit login and access your books. They log in from wherever they are — their office, their home, their phone.
Accountant access is free on every plan. Even if you're on Simple Start with 1 user, you can still invite your accountant or bookkeeper. They get their own login through QuickBooks Online Accountant and it doesn't count against your user limit.
Download the Mobile App
The QuickBooks Online mobile app lets you manage your books from your phone or tablet. Send invoices from a job site, snap photos of receipts at lunch, check your cash flow while you're waiting for a meeting — it's the same data as your desktop, just on a smaller screen.
For iPhone & iPad:
Open the App Store on your iPhone or iPad and search for "QuickBooks Accounting". Download the free app by Intuit and log in with your QuickBooks Online email and password.
For Android:
Open Google Play Store and search for "QuickBooks Accounting". Same thing — download it, log in, and your books are right there on your phone.
The mobile app is included free with every QuickBooks Online plan. Turn on the mileage tracking feature if you drive for business — it logs your trips automatically using your phone's GPS, and those miles turn into tax deductions at year-end without you having to remember a thing.
Migrating from QuickBooks Desktop?
If you're switching from QuickBooks Desktop to QuickBooks Online, Intuit has a built-in migration tool that brings over your existing data — customers, vendors, chart of accounts, transactions, and more.
Step 1: Back Up Your Desktop File First
In QuickBooks Desktop, go to File → Back Up Company → Create Local Backup. Always have a backup before you start a migration. Just in case.
Step 2: Start the Migration
In QuickBooks Desktop, go to Company → Export Company File to QuickBooks Online. Follow the prompts to sign in to your QuickBooks Online account.
Step 3: Let It Run
The migration can take anywhere from a few minutes to a few hours depending on how much data you have. Don't close the window or shut down your computer while it's running.
Step 4: Review Everything
Once it's done, log into QuickBooks Online and check your data. Run a Balance Sheet and Profit & Loss report and compare them to the same reports from Desktop. Make sure the numbers match. Some things like memorized transactions, price levels, and certain custom fields don't carry over — you may need to set those up manually.
Troubleshooting — Common Issues
QuickBooks Online Loads Slowly
Clear your browser cache and cookies, close other tabs you're not using, and make sure your browser is up to date. Chrome and Edge tend to work best. If it's still slow, try the desktop app — it sometimes runs smoother than the browser version.
Bank Connection Keeps Disconnecting
This happens sometimes. Go to Banking → click Update on the affected account. If it asks you to re-enter your bank credentials, do that. If your bank recently changed their login page or added extra security, the connection sometimes needs to be re-established. Disconnect and reconnect the account if the problem persists.
Can't Send Invoices by Email
Check that your customer has an email address on file — if it's blank, QuickBooks has nowhere to send it. Also check your spam/junk filters. Ask your customer to check theirs too. QuickBooks sends invoices from an Intuit email address, and some email providers flag them the first time.
Desktop App Won't Install
Make sure you're running Windows 10 or 11. Right-click the installer and select Run as administrator. Turn off your antivirus temporarily and try again. If it still won't install, just use the browser version — it's the same thing.
"Oops, Something Went Wrong" Error
This is QuickBooks Online's generic error. Clear your browser cache, try a different browser, or log out and back in. If it keeps happening, wait 15–20 minutes and try again — sometimes Intuit's servers have brief hiccups.
Migration Numbers Don't Match
If your Desktop and Online reports show different numbers after migration, check for uncategorized transactions or items that didn't transfer properly. Open transactions and unpaid invoices sometimes need manual adjustments. Run a Trial Balance on both and compare line by line to find where the difference is.
